The upload limit problem

Almost every Indian government portal, exam form and job application has a hard size limit — often 200 KB, 500 KB or 2 MB — and a phone-scanned document sails past it without trying. Rejected uploads at the end of a form are one of the most common and most avoidable frustrations there is.

What compression actually does to a PDF

Most of the weight in a scanned PDF is images, not text. Compression works by re-encoding those images at a lower resolution and higher compression ratio, and by dropping data the file does not need — duplicate resources, unused objects, over-detailed embedded thumbnails. Text and vector content are essentially free by comparison and are left alone.

That means there is a genuine trade-off, and anyone claiming otherwise is selling something. Push a scan hard enough and small print starts to smear. Compress to meet the limit you actually have, not to the smallest number available, and check the result before you submit it — especially if a clerk has to read a stamp or a signature on it.

Before you compress

If the PDF is big because it has pages you do not need, split those pages out first; that costs nothing in quality. If it is big because it was scanned at 600 dpi when 200 dpi would do, compression is exactly the right answer. If it contains only a photograph, the image compress tool gives you finer control.

How much smaller will my PDF get?

It depends almost entirely on how much of the file is scanned images and at what resolution. A 600 dpi phone scan usually shrinks dramatically; a text-only PDF that is already small will barely change.

Will compression make my document unreadable?

It can if pushed too far — that is the trade-off. Compress to the limit you actually need and check the output before submitting it anywhere.

Is a watermark added?
